Keep each client's files on the contact record. Send a document-request packet, let the client upload through the portal, and see what is still missing before you start the return.

Turn on recurring reminders, choose cadence and time, pick the channel, and customize the reminder message so missing W-2s and IDs do not sit in a personal text thread.
The client sees the request. The office sees the file on the same contact.
Use Documents for files and requests. Use E-Signatures when a PDF needs a signature. Use Automations when the request should repeat.
